This role is a contributing member of our Airlite - Omaha team, located in Omaha, NE. As a Payroll and Benefits Specialist, you are a key to continued growth and success of Airlite. This role is responsible for the accurate and timely processing of semi-monthly payroll for all employees across multiple jurisdictions, including locations in Canada. This role involves comprehensive payroll record auditing, detailed reporting, and administrative support for benefits programs. The specialist will ensure compliance with all federal, state, and local payroll and tax regulations, and provide direct administrative support to the human resources department in a manufacturing environment.
Essential Duties:
- Process assigned payrolls for all employees across various states and jurisdictions, including Canada, confirming pay rates, garnishments, liens, benefits, etc. are calculated correctly.
- Ensure compliance with federal, state, and local wage and hour laws, including FLSA and state and country specific regulations.
- Verify and input all payroll-related data, including hours, deductions, garnishments, bonuses, and commissions, etc.
- Manage and process multi-state tax withholdings and ensure the HRIS system is accurately submitting tax remittances.
- Reconcile payroll data and resolve discrepancies.
- Prepare and submit all required payroll tax filings (e.g., 941s, W-2s, state unemployment reports), ensure compliance to regulatory and internal controls compliance.
- Address and resolve employee payroll inquiries and discrepancies.
- Maintain current knowledge of payroll laws and regulations to ensure ongoing compliance.
- Conduct regular audits of payroll records, including new hires, terminations, status changes, and pay rate adjustments, to ensure accuracy.
- Generate various payroll reports for management, finance, and other departments (e.g., headcount, labor cost, PTO accruals).
- Prepare reports for internal and external audits.
- Provide administrative support for all employee benefits programs (e.g., health, dental, vision, life, disability, 401k/retirement plans).
- Assist with new hire benefits enrollment, changes, and terminations.
- Serve as a backup point of contact for routine employee benefits inquiries.
- Support annual open enrollment processes, including communication and data entry.
- Assist with reconciliation of benefits invoices.
- Maintain accurate, confidential employee payroll and benefits records within the HRIS system.
- Assist with general HR administrative tasks as required.
- Collaborate with the HR team on various projects.
- Document payroll and benefits processes and procedures.
- All other duties as assigned.

Qualifications, Knowledge, Skills Abilities Required:
- Minimum of three (3) years of payroll processing experience with two (2) years of benefit administration experience in a manufacturing setting is preferred.
- Bachelor’s degree in business administration or related field preferred, or equivalent experience; CPP designation a plus.
- Proficiency with UKG.
- Knowledge of Canada payroll laws and practices required.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
- Excellent data hand-keying speed and accuracy.
- Solid understanding of all payroll-related federal and state taxation laws, regulations and requirements.
- Strong working knowledge of employee and employer taxing requirements.
- Multi-state payroll experience a plus.
- Capability to solve complex problems, utilizing strong critical thinking and decision-making skills
